01 / TIME OF SERVICE COLLECTIONS
Pull the Time of Service Collections report.
The first of two reports. Shows what patients paid at or before the visit and Athena's pre-visit copay estimate. Pull this for the same date range you'll use for the Activity report.

- 01Open the Report Library. Top nav - Reports - Report Library (under General). This is different from the Activity report path, which is under Financials.

- 01Search for Time of Service Collections. Type 'Time of Service' in the search box at the top of the Report Library. Click run next to 'Time of Service Collections'. The Cross Practice variant pulls multiple practices together - do not use it here.

- 01Date range - use the same one for both reports. The diagnostic joins TOS and Activity on appointment ID. The cohort only lines up if both reports cover the same dates. Pick a window ending at least four months ago - claims need time to adjudicate for the yield figures to be meaningful.

- 01Pick the live departments. Switch from All to Selected. The left list shows checkboxes; the right pane shows what's selected.
- 02TOS lets you filter departments here. Unlike the Activity report, TOS narrows by department at the report itself. Select only the departments that are in scope for this diagnostic.

- 01View Type = Detailed. The diagnostic needs row-per-appointment grain. Summary view aggregates and breaks the join to the Activity report.
- 02Tick Redact Patient Information. This strips the patient name and ID columns from the export. The diagnostic never uses patient identifiers, and the uploader rejects any file that still contains them. If your version of Athena doesn't offer this checkbox, delete the patient columns (name, ID, date of birth, contact) from the CSV in a spreadsheet before uploading.
- 03Text (comma-delimited). Saves as a .csv that the diagnostic reads directly. HTML and tab-delimited formats will not parse.
- 04Run Report - CSV downloads. The file downloads to your computer's Downloads folder. Hold onto it for the upload step alongside the Activity CSV.
Five clicks. The configuration that matters: View Type = Detailed, comma-delimited format.
